Assistant Project Manager – Graphics
JOB DESCRIPTION
To assist the Graphics Management team with assigned project related responsibilities. This position requires the ability to effectively manage assigned tasks in a timely and organized manner. Projects typically involve multiple steps from start to finish. Our team manages multiple projects simultaneously. Therefore, projects are typically at different stages, and multi-tasking is essential. Each project is time sensitive and requires that the assigned tasks be completed within a defined timeframe. It is the responsibility of the Assistant PM to alert his or her direct supervisor if unable to be completed within the designated time frame for any reason. As issues arise, the direct Supervisor will help guide, re-prioritize, or assume tasks as needed.
RESPONSIBILITIES
Data Entry (NetSuite):
- New customer/prospect set-up
- New customer location (project) set-up
- New vendor set-up
- Job document processing and organization (Uploading files to Box network)
- Estimate conversion to sales order
- Product and shipment tracking (Obtain tracking, upload to record, and follow to ensure accurate delivery)
- Installation calendar maintenance
- Purchase order creation
- Obtain and process completion documents from installers (May require use of customer specified portals)
- Review and submit vendor invoices to [email protected]
- Create and submit Customer Invoice(s) upon completion
- Other support tasks as assigned by Supervisor
Communications:
- Vendor search
- Vendor acquisition
- Bid requests & follow-up (as directed, Supervisor review required)
- Obtain city code/Landlord criteria
- Request and obtain Landlord approval (as required)
- Permit tracking (as required)
- Project scheduling and coordination (as directed)
- Direct client communications (as directed, copying the direct Supervisor is required)
